From slip to invoice without retyping a thing.

FuelSync is depot software for South African diesel resellers: photograph the delivery slip, and it reads it, checks the numbers, prices it and invoices it.

No card. No limits for 14 days. Then from R500 a month incl. VAT.

Sample delivery slip number 11795, fictional data

Sample slip and data · fictional reseller and customer

Follow one slip from the pump to a locked month.

Slip 11795: 820.0 litres of diesel 50ppm for Ridgeback Quarries, written up in a bakkie on a Tuesday afternoon. Here is everything that happens to it.

  1. Snap the slip. The form fills itself.

The driver photographs the slip at the pump or the customer's tank, or a whole slip-book page at once. FuelSync reads the customer, product, vehicle, meter readings and litres into the form, and the driver checks anything outlined before sending it. No signal? It waits on the phone and goes when there is.

Depot dispensing, bowser deliveries and bulk drops, in one ledger.

  2. Numbers that don't add up don't get through.

Slip numbers are pre-printed, so FuelSync knows when one is missing: 11794 never arrived, so it stays flagged until the slip turns up or someone with the authority voids it and gives a reason. Meter end minus meter start must equal the litres. A bulk drop needs its thermal receipt and delivery note to agree.

    49 033.0 − 48 213.0 = 820.0 L

  3. The right price for that customer, on that day.

Each customer's contract price is your base price less so many cents a litre, or a percentage, and it is fixed the moment the delivery is approved. FuelSync follows the DMPR and CEF figures for your zone every day, so you see the first-Wednesday change coming. It prepares the new price list and waits for you to confirm it.

Never changes a price on its own. You confirm every monthly change.

  4. Batched every day. Invoiced in one go.

Approved deliveries gather into one batch per customer per day. Invoice them in FuelSync, or send them to Sage (rolling out). The dashboard shows what's approved but not yet invoiced, in rand, every day, so nothing waits for month-end to be noticed.

  5. Your customer sees the slip too.

Each customer gets a portal of their own: every delivery with its slip photo, daily usage split by channel, and their invoices. When Ridgeback asks about slip 11795, the evidence is already in front of them.

The customer portal comes with every package.

  6. Month-end is a review, not a reconstruction.

Lock the month once nothing is waiting for review and every batch is done. A locked month refuses changes, and reopening it needs a reason that stays on record. A late slip can still be captured, so the numbering never has a gap nobody can explain.

Every lock and reopen is kept in a history nobody can edit.

Built for the person who signs and the person who reconciles.

If you own the business

  • Every litre that leaves the yard is on a numbered slip, and a missing number gets chased.
  • Approved deliveries that haven't been invoiced show on the dashboard the same day, in rand.
  • The first-Wednesday price change becomes a prepared price list, not an afternoon of retyping.
  • Your customers look up their own deliveries and slips instead of phoning you.

If you close the month

  • No retyping slips. The photo fills the form; you check what's outlined.
  • Meter and receipt mismatches are stopped before approval, with the reason on screen.
  • Approved deliveries batch daily and invoice in one go, in FuelSync or sent to Sage (rolling out).
  • Lock the month once nothing is waiting for review, and explain any missing slip in the lock note.

Questions resellers ask.

Something not here?

Do I need Sage?
No. A company can invoice entirely inside FuelSync. If you use Sage, FuelSync can send your approved invoices to it from the Growth package up; that connection is rolling out now.
What happens after the 14 days?
Nothing is limited during the trial, so use it the way you really would. Before it ends, FuelSync shows which package your usage fits, and we invoice you by EFT. If you don't carry on, the account becomes read-only: your data stays there to view and export.
Do drivers need to install anything? What if there's no signal?
No install. Capture runs in the phone's browser, Android or iPhone, and can be added to the home screen. Without signal the delivery is saved on the phone and sent when the signal comes back.
Is our data kept apart from other resellers?
Yes. Each reseller's data is separated in the database itself, not only by the app. Our support staff can open your account only through a time-limited session that records who, when and why.
Do the prices include VAT?
Package prices include VAT. Inside FuelSync, each of your companies chooses whether its fuel prices are entered including or excluding VAT.
Who makes FuelSync?
FuelSync is made by Parity Labs. Ask us anything at [email protected], or use Talk to us on this page.
